Communication is key!
Giving the entertainment company some notice on when you’re planning on your event taking place is a key part of the planning process. Especially for live productions, it takes time to travel and set the equipment up. A good rule of thumb is to plan at least 6 weeks ahead of time, but the longer runway you have, the better.

Why such a large window?
For one, you need to make sure everything is available on the day you need it.
Booking ahead of time ensures that you get your name in the books. If you want a Game Show, you probably aren’t the only one! These holiday events can get pretty full when focused around a particular celebration. Many of our events can run year-round, but as you can understand.. there are a few other colleges around the country! If you don’t book, someone else will!
Another reason for the window is you want to confirm that everyone knows when it is going to take place before they make other plans. If your goal is to get some holiday fun in for the student body, you are probably going to want to make sure your students aren’t running for the plane home the moment the ink on their finals is dry. Ensuring the highest amount of engagement and attendance means having enough time for your enagers and attendees to plan to be there!
A third reason for the runway is it gives you time to alert your vendors and entertainment bookings of any changes and to solidify your agenda. This, once again, helps you ensure that the money spent on whatever entertainment that you choose is well spent, and enjoyed by as many people as possible.
When things get unexpected, which we all know things have been pretty unpredictable the last few years, it’s always better to book early! You’re never too early!
